Depending on your enquiry and your interaction with the website, we may process:
- contact and professional information, including your name, business email and optional telephone number
- company information, including legal name, registration number, VAT number, country and website
- technical and commercial requirements, including equipment, power, connectivity, IP resources, intended workload and deployment timing
- communications and information you provide during the evaluation of your request
- security information, including IP address, request time, origin and anti bot validation results
3. Purposes and legal bases
We process personal data only for the purposes described below:
Enquiry and proposal
To evaluate your request, communicate with you and prepare technical or commercial terms. The legal basis is taking steps at your request before entering into a contract where applicable, Article 6(1)(b) GDPR, and our legitimate interest in handling business enquiries, Article 6(1)(f) GDPR.
Company and intended use verification
To confirm the applicant, assess the intended use and protect our infrastructure and customers from fraud and abuse. The legal basis is our legitimate interest in service and network security, Article 6(1)(f) GDPR.
Form and website security
To prevent automated submissions, investigate security events and maintain service availability. The legal basis is our legitimate interest in protecting our systems, Article 6(1)(f) GDPR.
Legal obligations and claims
To comply with applicable legal obligations and, where necessary, establish, exercise or defend legal claims. The legal bases are Article 6(1)(c) and Article 6(1)(f) GDPR as applicable.
Information submitted through this form is not used for marketing or mailing lists.
4. Sources of information
We receive information directly from you and during our subsequent correspondence. For company, network and intended use verification, we may compare the supplied information with publicly accessible company, domain, network and sanctions registers where relevant.
5. Recipients and international transfers
Access is limited to authorised RIXHOST personnel who evaluate requests, operate the service or handle security matters. Personal data may also be processed by infrastructure, email and security providers acting under applicable data protection terms.
We use Cloudflare Turnstile to protect the form from bots and abuse. Turnstile may process the visitor IP address, TLS fingerprint, user agent, Site Key and website origin. Cloudflare may process data outside the European Economic Area using recognised transfer safeguards, including the EU U.S. Data Privacy Framework and Standard Contractual Clauses.
6. Retention
We retain personal data only for as long as necessary for the relevant purpose:
At the end of the applicable period, data is deleted from active systems. Residual protected backup copies are overwritten during the ordinary backup rotation and are not used for routine operations.
7. Your rights
Subject to the conditions of the GDPR, you may request access, correction, deletion or restriction of your personal data and may object to processing based on legitimate interests. Data portability applies where the legal requirements are met. You may contact us at the address below. You also have the right to lodge a complaint with the Latvian Data State Inspectorate.
8. Required information and decisions
Fields marked with an asterisk are needed to assess the request. Without this information, we may be unable to prepare a proposal or complete the verification. RIXHOST does not use solely automated decision making to accept customers. Turnstile performs automated security validation, while service requests are reviewed by a person.
9. Security
We use access controls, encrypted transport, restricted server access, anti bot validation and request rate limits. We do not request identity documents, personal identification numbers or payment information through the open enquiry form.
